Compressed Sofa Sample Inspection: A Buyer Checklist

A sample review works best when the buyer and supplier agree in advance on the configuration, the checks to perform and what constitutes acceptance. Use this checklist to organise observations and questions before a bulk-order decision. It is a buyer planning aid, not a laboratory test report or a statement that any model has passed a certification.

1. Agree on the sample and the review conditions

Record the model or SKU, size, cover, colour, filling, components included and packaging revision. Ask whether the sample uses the materials and packing process proposed for the order. List anything that differs, including accessories used only for display.

Request the model-specific unpacking, assembly and recovery instructions, plus the conditions and timing for measurement. Agree on dimensional tolerances and visible-finish acceptance points. There is no universal recovery time or tolerance stated in this checklist.

2. Record the package before opening it

  • Photograph each carton’s exterior, labels, corners and any visible damage.
  • Record the number of cartons, external measurements and packed weights.
  • Check model and component references against the agreed packing list.
  • Note delivery and opening times, and keep the packaging for review.

For a product supplied in multiple cartons, inspect the complete set. Use the carton and CBM checklist to organise the packing measurements.

3. Follow the agreed opening and recovery instructions

Make a continuous record of the opening sequence where practical. Follow the supplier’s handling instructions, keep cutting tools clear of the product, and note anything unclear before continuing. Do not use improvised load or durability tests.

Record the conditions requested by the supplier and observe the product at the agreed checkpoints. Note wrinkles, uneven expansion, shape changes or areas needing clarification. If recovery differs from the agreed instructions, preserve the observations and ask the supplier for an assessment.

4. Review the product against the specification

  • Identity and completeness: correct model, colour and component set; clear assembly instructions.
  • Measurements: assembled dimensions measured using the agreed method and timing.
  • Visible finish: seams, cover alignment, surface marks, corners and symmetry.
  • Assembly and normal use: fit and operation under the supplied instructions; any unusual movement or noise.
  • Comfort: observations from your intended use, recorded separately from measurable specification checks.

Catalogue images help select a design, but they cannot establish material composition, recovery performance, load capacity or included components. When reviewing an upholstered bed design, also request the model’s intended mattress fit and included-items list.

5. Keep product inspection and transport testing distinct

A successful sample review does not establish that the packaging will withstand your distribution route. Discuss the shipment environment and ask which packaging test procedure is appropriate with a qualified laboratory. If a report is supplied, verify the tested product, packaging revision, test procedure and result.

6. Close the review with a written decision

For each observation, record the agreed requirement, result, supporting photograph or measurement, and requested action. Separate accepted items from unresolved issues. If a component or packing method changes, agree whether the revised sample or supporting evidence needs another review.

Identify the approved sample and specification revision in your order documentation. Agree how any later changes will be handled; do not assume a sample alone defines all bulk-production acceptance conditions.
